Zoom My Notes: what it does, pricing and alternatives
Bot-free AI notetaker from Zoom that summarizes meetings on Zoom, Teams, Meet and in person, then triggers follow-ups
Best for
- Teams already paying for Zoom Workplace who want meeting notes without adding another vendor
- People who meet across Zoom, Teams and Google Meet and don't want a bot joining calls
- Managers who want recaps posted to Zoom Chat or Slack and follow-up emails or tasks triggered from the notes
Not for
- Sales teams that need meeting notes written straight into Salesforce records; we found no documented My Notes-to-Salesforce workflow
- Work where an exact, verbatim transcript is relied on for decisions
- Organizations where admins have switched the feature off, such as University of Michigan accounts

What it does
My Notes is the AI notetaker inside Zoom Workplace. According to Zoom's product page, it can "automatically take notes across Zoom, Teams, Google Meet, and other third-party meeting platforms" and in person. No bot joins the call. It captures audio from the user's own device, combines that with anything the user types during the meeting, and produces a summary with action items and decisions.
The bigger change came in Zoom's announcement of 18 May 2026. Workflows can now be triggered from My Notes before, during and after a meeting. Zoom names follow-up emails and task creation as examples. It offers ready-made templates for Sales, Marketing, IT and HR teams, and users can "review, edit, and approve steps" before anything is sent. Summaries can be shared through Zoom Chat, Canvas or Slack. Notes are private by default. The same announcement introduced a mobile app, but that version only records in-person conversations.
One point needs care. Salesforce does appear in Zoom's announcements, but as a data source for AI Companion's agentic search, which can look up "specific Salesforce account records" according to Compare the Cloud's coverage. We found no Zoom documentation of a My Notes workflow that writes meeting notes into Salesforce. Zoom Chat, Slack, email and tasks are the follow-up destinations Zoom confirms.
Who it is for
The obvious users are organizations that already pay for Zoom Workplace. My Notes is included in those plans, and the notes stay in the same Hub as their chat, docs and recordings. It also suits people whose meetings run on several platforms. Someone who joins a client's Teams call in the morning and an internal Zoom call in the afternoon gets one set of notes. Managers who want a recap in a team channel without writing one will find the Zoom Chat sharing and workflow templates useful.
How people use it
Here is a typical job: an account manager runs a weekly check-in with a customer on Google Meet. Before the call, they open My Notes in the Zoom desktop app and attach the Sales workflow template to the meeting. During the call, My Notes captures the audio while the manager types a few short notes, such as "pricing concern" and "wants pilot in Q1". When the call ends, My Notes merges those notes with the transcript into a structured summary of decisions and action items. The manager reads the summary and fixes anything misheard. Then they review the steps the workflow suggests, which might be a follow-up email to the customer and a task for a solutions engineer, and approve them. Last, they share the summary to the account team's Zoom Chat channel. If the company keeps its records in Salesforce, the manager still has to get the notes there separately, because we found no documented direct path.
Pricing
We checked Zoom's pricing page on 28 October 2026. The free Basic plan has no listed price and includes "AI note-taking (3 uses per month)". Zoom's product page also lists 3 meeting summaries, 20 AI queries and 10 workflow runs per month on Basic. Pro costs $16.99 per user per month billed monthly, or $14.16 billed annually. Business costs $21.99 monthly or $18.33 annually. Enterprise has no listed price. All three paid plans list AI note-taking as "Unlimited". The pricing page also says AI features do not apply to users with Basic permissions on paid accounts. My Notes can be bought on its own too. The product page says "from $8.33/user/month", and the May announcement gave the standalone price as $10 per user per month. The two figures probably reflect annual versus monthly billing, but Zoom doesn't say so.
Strengths
The bot-free design is the feature reviewers mention most. The HappyScribe review is critical overall, but it still praises the fact that "no bot joins your call". It also found that capture works across Zoom, Teams, Meet and in-person meetings, and called the interface polished and the summary templates useful. For Zoom customers, cost is the next advantage. Paid plans include unlimited note-taking at no extra charge, so there is no new vendor, contract or security review. The approval step in workflows is another sensible choice. Follow-ups are drafted for a person to check, not sent on their own.
Limits and things to watch
Transcript accuracy is the main complaint. The HappyScribe reviewer used the product for months. They heard "launch" come back as "loan", saw words like "Chrome" dropped, and found speaker separation failing even in one-on-one calls. They also report that two clients with the same name were confused despite instructions explaining how to tell them apart. HappyScribe sells a competing transcription product, so its conclusions deserve some caution, but the examples are specific.
Settings cause friction too. In the same review, a user could not find transcripts because a separate "Meeting Transcript" setting on the Zoom web portal was off, and the fix took three weeks. Admins can disable My Notes for a whole organization, and a meeting host can see a notes icon next to a participant's name and stop transcription. Some institutions don't offer it at all. The University of Michigan's IT knowledge base says My Notes "is not available in U-M Zoom" and gives no reason.
Consent is another concern. Device-level capture with no visible bot means other attendees may not know they are being transcribed. The HappyScribe reviewer points out that a July 2026 lawsuit against Granola targets the same design, and advises telling participants every time. The free plan's limit of three uses a month is enough to try the product but not to rely on it. Finally, the Salesforce connection people may expect is not documented for My Notes itself.
When to choose something else
Granola is the closest match in design, since it also captures audio from the device without a bot. Its pricing page lists a free Basic plan with 30 days of history, Business at $14 per user per month and Enterprise at $35. Salesforce integration comes only with Enterprise. It suits people who want a notetaker that doesn't depend on Zoom.
Otter.ai is the better option on a tight budget. Its free plan includes 300 minutes per user per month, capped at 30 minutes per conversation. Pro is $8.33 a month billed annually ($16.99 monthly list), and Business is $19.99 annually ($30 monthly list). The pricing page lists Salesforce and HubSpot integrations on Pro, "subject to user limits."
Read AI is the clearest choice for sales teams that need notes in their CRM. Its pricing page lists Salesforce, HubSpot and webhooks among Pro features at $15 per user per month annually ($19.75 monthly). The free plan allows 5 transcripts a month. The Enterprise plan requires five or more licenses, and the pricing page directs Enterprise+ buyers to talk to sales.
Verdict
For teams already paying for Zoom Workplace, My Notes is easy to try. It costs nothing extra, it works on rival meeting platforms without a bot, and it can post recaps to Zoom Chat and draft follow-ups for review. Those strengths come with caveats. The available evidence points to imperfect transcripts and confusing settings, and we found no native My Notes path into Salesforce. Teams whose main need is CRM logging, or who depend on precise transcripts, should look at Read AI or Otter, or wait until Zoom documents a Salesforce workflow for My Notes. Whatever the choice, tell participants when notes are being captured.

Verdict
Teams that already pay for Zoom Workplace should try My Notes now. It costs nothing extra on paid plans, it works on Teams and Meet without a bot, and it can post recaps to Zoom Chat. Sales teams that need notes written into Salesforce, and anyone who needs accurate verbatim transcripts, should wait or choose a dedicated tool with a documented CRM integration.
